Appointment Setting Process
1. DISCOVER CALL
A P4P Agency Account Services representative will conduct
a 15-minute discovery call with your sales manager to
better understand your product and service offerings and
how your company handles its sales process. This call will
help us develop an appropriate script for appointment
setting and arm our agents with enough information about

SCHEDULING
THE APPOINTMENT
Our outbound dial team conducts up to 7 attempts to reach
your online leads. In the event contact is made, our skilled
agents will confirm the customer's information and transfer the
customer to our scheduling department where an appointment
will be requested within 24-72 hours for a company
representative to meet with them at their home or business to
discuss products and services. Some questions will be
answered based on the FAQs created. Prospects will be
encouraged to speak directly with a company representative in
person since there are many variables to consider and not
every question can be answered. If appointments cannot be
setup, a warm transfer will be attempted.
CONFIRMING
THE CALENDAR
Once the prospect has verbally committed to scheduling an
appointment, the agent will review open availability using our
Scheduler Solution portal. This portal will permit in-field sales
teams to enter and receive scheduled appointments via a mobile
or desktop device. The system enables both P4P Agency and
your company to maintain the same, proprietary schedule to
ensure appointments are not double-booked.
DELIVERING
THE CONFIRMATION
Once an appointment is entered into the Scheduler Solution, the
prospect and the contractor receive email notifications confirming
the date, time and location of the appointment. Contractors are
encouraged to engage the customer as soon as possible to begin
building a rapport and ensure last minute changes are avoided. All
calls are also recorded to ensure compliance and accuracy
regarding confirmed appointment times.
FAQs
How does payment
work for appointment setting?
Clients are billed weekly for the week's
activity. Set appointments are $20- $50
each. The $6 record fee remains in
effect for all leads managed by P4P
regardless of outcome. Client can
determine the maximum number of
appointments they wish to receive each
week.
What if a customer
calls to cancel or no-shows?
P4P will receive any inbound calls to
our center for cancellations and share
those with the customer. P4P is not
responsible for no-shows or
cancellations involving appointments
outside the billable week.
Why are appointments
scheduled within 72 hours or less?
P4P works hard to schedule prospects
as soon as possible to ensure a high
conversion rate to sale. Unless volume
prohibits it or the prospect demands it,
P4P will not schedule appointments
beyond 72 hours.
Why did I receive a warm transfer
during my campaign when
I purchase appointment setting?
Not all customers will want to schedule
an appointment before specific
questions are asked. Our agents are
trained to transfer those calls.
