Responsibility Training Organization and Database
Activities  Applies Upstream Learning standard learning delivery policies and processes to
all learning activities they administer or coordinate; surfaces any issues or
deviations to the Learning Operations Lead
 Serves as the first point of contact for participant and faculty issues
 Ensures local learning activities are implemented per contract terms and
conditions; Serves as the liaison with BP suppliers to arrange learning sessions
according to contracts
 Tracks learning, provides reports and maintains the accuracy of data in the
Learning Management System to meet compliance and governmental regulation
requirements
 Provides data for the annual Learning Needs Analysis and integrated Demand
Planning process for technical, professional business function programs, and
leadership learning offers
 Manages printing and shipping of materials and promotional items through
approved printing vendors
 Provides on-site learning support, including high definition learning events
according to Upstream Learning onsite coordinator process

Responsibility Training and Database
Activities  Assist Tutor to develop and maintain a detailed training catalogue for both In-
house & External Training
 Maintain a calendar for all external GSR training events, contact with external
vendor HR Training for this objective
 Assist Tutor and HR to develop and Maintain the annual and tri-annual training
plan and individual passport
 Maintain the annual GSR Training schedule - liaise with HR Training
 Assist Tutor in follow-up of all new GSR e-learning projects - liaise with
 Participate in the evaluation of training costs - ensure request and archiving of
offers from HQ and vendors - liaise with HR Training for definition of the GSR
Training budget
 Management, at GSR of requests for thesis Writing and OJT, ensure follow up

planning for VIE, Stagieres, TW and OJT
 To support above points is to have complete and reliable individual data from
personnel data to training History
 Ensure, in liaison with HR REP, a permanent update staff database and extract
the necessary analytical data at request of GSR Management and metiers
 Assist Tutor in preparing relevant tables facilitating GSR Management
 Maintain a full database of TOTAL SA Standard CVs and IDPs of all GSR staff and
ensure they are updated at regular Interval
ASST. HR REPRESENTATIVE – Human Resources Division | TOTAL E&P INDONESIE

Activities  JSP (Job Succession Plan) : To ensure the personal data, assist REP to entry the
planning Workbook and issue chart for JSP Level 15+
 RPTKA (Rencana Penggunaan Tenaga Kerja Asing) : Prepare MD 1 (Organization
Chart for BPMIGAS) and ensure all the coordinate of the positions. Prepare MAP
(Manpower Action Plan) for Expat and the Understudy and IMTA Letter (for
Understudy part). Maintaining list monitoring of IMTA, RPTK validity and also
prepare presentation to BPMIGAS
 Internal Movement : Prepare NOO, Memo and NP Confirmation Request, SAP
Update, prepare Scattergram and calculation for Salary Increase proposal and

 To complete personal data for IDP
 Support Rep in administration works
 Monthly Task : updating Monthly Data Record extracted from SAP and ensure
the accuracy of the data
 Simplified HOC (Hierarchy Organization Chart)
 Update monthly Simplified HOC (Hierarchy Organization Chart) to be published
in intranet in coordination with HRM/ODP
 Annual Task :
EIA (Individual Appraisal)
- Compile, analyse the tentative rating
- Prepare presentation for EIA Tentative Rating based on above analysis
- Upload Rating in Web
- Ensure all of EIA hard Copies are compiled and validated
MSI Exercise (Mass Salary Increase)
- Assist Division or Hierarchy to entry MSI points in Web
- Produce Scatter gram for analysis
- Prepare Presentation for Stage Meeting
- Pre-Budget & Initial Budget for next Year (PDC 02, PDC 09, IB)
- Action all movement plans, creation of new posts and deletion of posts in
SAP HR
- Data comparison and analysis of PDC 02, PDC 09, IB and PLTRH
- Produce budget booklet that contains all the analysis and summary of the
exercise
- Produce Organization Chart – status end of next year based on Budget
exercise
PLTRH (Manpower Plan - Once in two year)
- Data entry to PLTRH Web
- Prepare presentation based on analysis data input from Web
